Responsible Use of PayStubPro

Our commitment to ethical, legal, and transparent payroll documentation. Learn how to use PayStubPro responsibly and in full compliance with applicable laws.

Allowed Uses

PayStubPro is designed for legitimate payroll documentation. The following uses are permitted and encouraged when carried out with accurate, truthful information.

Legitimate Employee Pay Stubs

Generate accurate pay stubs for employees as part of a genuine employer–employee relationship, reflecting actual wages, hours worked, and deductions.

Self-Employment & Freelance Documentation

Independent contractors and sole proprietors may create records of their income for personal bookkeeping, tax preparation, and professional reference.

Income Verification for Internal Records

Use pay stubs to maintain internal payroll records that are consistent with your actual compensation practices and required reporting obligations.

Educational & Training Purposes

HR professionals, accountants, and educators may use sample pay stubs to illustrate payroll concepts, train staff, or demonstrate system features — provided the documents are clearly marked as samples.

Replacement Copies of Lost Records

Recreate pay stubs for periods you genuinely worked if original records were lost, provided the recreated document accurately reflects the original compensation.

Prohibited Uses

The following activities are strictly forbidden. Violation may result in immediate account termination, reporting to law enforcement, and civil or criminal liability.

Fraud or Misrepresentation

Submitting fabricated pay stubs to lenders, landlords, government agencies, or any third party to misrepresent your income or employment status is illegal and strictly prohibited.

Falsifying Income or Employment Information

Altering figures — wages, hours, employer details, deductions — to create a document that does not reflect actual compensation is falsification of financial records.

Loan or Rental Application Fraud

Using PayStubPro-generated documents as fraudulent proof of income on mortgage applications, personal loan requests, or rental agreements violates federal and state fraud statutes.

Government Benefit Fraud

Submitting inaccurate pay stubs to obtain public assistance, unemployment benefits, or tax credits you are not entitled to constitutes benefit fraud — a federal and state criminal offense.

Identity Theft or Impersonation

Creating pay stubs under another person's name, Social Security Number, or employer information without authorization is identity theft.

Any Other Illegal Purpose

PayStubPro may not be used for money laundering, tax evasion, immigration fraud, or any activity prohibited by federal, state, or local law.

Your Obligations as a User

By using PayStubPro, you agree to the following responsibilities. These obligations exist to protect you, your employees, and the integrity of financial systems.

Accuracy of Information

You are solely responsible for ensuring that all data entered into PayStubPro — including employee names, hours worked, pay rates, withholding amounts, and employer details — is accurate, complete, and truthful. PayStubPro generates documents based on what you input; it does not independently verify your data.

Compliance with Applicable Laws

You must comply with all federal, state, and local laws governing payroll, employment records, and income documentation. This includes the Fair Labor Standards Act (FLSA), IRS withholding requirements, state payroll tax laws, and any record-keeping regulations applicable to your jurisdiction.

Proper Record-Keeping

Retain copies of all pay stubs and supporting payroll records for the period required by law — generally a minimum of three years under federal law, though some states require longer retention periods. You are responsible for maintaining an audit trail that substantiates the documents you create.

Prohibited Purpose Awareness

Before generating any document, you must confirm that your intended use is lawful. If you are unsure whether your use case is permitted, consult a qualified attorney or HR professional before proceeding. Claiming ignorance of the law is not a defense.

Consequences of Misuse

PayStubPro takes misuse seriously. Violations of our Responsible Use policy and Terms of Service are subject to the following escalating consequences.

Account Suspension

Immediate suspension of your PayStubPro account without notice or refund upon detection of policy violations.

Permanent Ban

Permanent termination of access for repeat violations or severe misuse, including reporting to law enforcement when required.

Legal Action

PayStubPro reserves the right to pursue civil remedies and to cooperate fully with law enforcement investigations involving fraudulent use of our platform.

Criminal Liability

Misuse for fraud, identity theft, or falsification of records carries criminal penalties under 18 U.S.C. § 1344 (bank fraud), 18 U.S.C. § 1028 (identity fraud), and parallel state statutes — including fines and imprisonment.

Best Practices for Compliance

Following these practices will help you use PayStubPro responsibly, maintain accurate records, and stay compliant with payroll laws.

  • 1

Double-check all wage, hour, and deduction figures against source payroll records before generating a document.

  • 2

Use PayStubPro for official payroll runs that align with your tax filings and bank records.

  • 3

Clearly label any document generated for training or demonstration purposes as a "SAMPLE" to prevent accidental misuse.

  • 4

Store generated pay stubs securely and limit access to authorized personnel only.

  • 5

Review your state's specific pay stub requirements — some states mandate particular fields or formats.

  • 6

Consult a CPA or employment attorney if you are unsure whether your payroll practices comply with current law.
